Google Sharing Settings
The option to share with “The Friends' School” or “The Friends' School with the link” means the file, folder or site is available to anyone with a Friends' Google account, that is staff and students. This option has been removed for any future documents, sites or folders.
For existing documents this should be changed to “Restricted” and the appropriate individuals or groups added.
Changing Sharing Settings of a Google Drive File or Folder
Navigate to Google Drive: Go to Google Drive and sign in to your account.
Locate the File or Folder: Find the file or folder for which you want to change the sharing settings.
Open Sharing Options:
For a File: Right-click on the file and select "Share".
For a Folder: Right-click on the folder, then click "Share".
Adjust Sharing Permissions:
Set Access Levels:
Add the appropriate individuals or groups and whether they can view, comment, or edit.
Untick “Notify” when sharing with groups
There are year groups and staff groups available for example:
Example groups that may be of use are student year groups:
Year 1 Students, Year 9 Students etc.
Primary School Students, Middle School Students, Senior School Students
All Students
Whole Staff and specific sections of the school (eg Primary School Teaching Staff)
Sharing with “Anyone with the link” should be avoided and must only be used if the file or site does not have personal, identifiable or sensitive information. The only valid case for link sharing is when it would not cause harm for the entire world viewing the document.
Save Changes: Click “Done” after making necessary changes.
