Your Laptop
All staff members with student contact or with a requirement for their position are issued with a School-leased Apple MacBook laptop for their professional use. The School leases staff and student laptops for 3 years. Staff or students issued with a newly leased laptop will retain that same laptop for the duration of its lease. In some cases, at the end of a laptop’s lease, that staff member might be allowed to purchase their out-of-lease laptop for private use if desired, at the discretion of the Information Services Service Desk Team Leader.
It is expected that you look after your laptop. Always carry your laptop in your padded bag, away from sharp objects or drink bottles. Please take care not to knock your laptop or to leave it where it may be damaged. Do not write or put stickers on your laptop. Try to keep your laptop clean. Please report any damage or problems immediately to your campus Service Desk.
Periodically, Information Services Support might call in your laptop for updates to software or other maintenance. Please take care to back up any crucial files (please see below) to a secure location regularly.
Jamf and Remote Desktop - Laptop and iPad Management
A central system called “Jamf” manages all student laptops, staff laptops and all iPads. The software controls login to the laptop and password changes, and enables the central installation (and removal) of software, and for some management functions, such as changing system settings, resetting and remote wiping a device.
Each laptop has a “local administrator” account that is accessible by Information Services staff. This also enables Remote Desktop software for access to the laptop by Information Services staff.
Staff laptop accounts do not have administrator access, so if that is required for installation or settings changes, please contact the Service Desk.
Jamf Self Service
Jamf Self Service is the school’s “App Store”. Use it to install applications or printers. This short, five minute video will show you how to do this.
Passwords & Security
You will be issued with a username and password during staff induction and will be guided through the process of changing it to your own, secure password. Please make a note of your password, and please never allow any student the opportunity of learning it or to use your laptop.
Change Password - JAMF Connect
You can use the JAMF Connect icon in the top right of your Mac laptop to reset your password for your laptop, the school network and your school Google account. Use this article or contact the Service Desk to change the password if you do not have a Mac laptop or you require assistance.
You will also need to set up 2-step verification for your school Google account. The Staff Account Protection Guidelines are available for further guidance..
Touch ID is also available on staff laptops, using the button at the top right of your keyboard. Go to System Preferences -> Touch ID to set this up.
macOS and Applications
Right Clicking and Two Finger Scrolling and other gestures
You will notice (unless you have a properly configured mouse) that there is no right-click button. To get a right-click menu you can simply use a ctrl+click. An added bonus is the ability to use two fingers on the trackpad for scrolling. Even more, options are available in
Apple Menu > System Settings > TrackPad or Mouse.
The Applications Folder
Many software applications have already been installed on your laptop. You will find them by clicking on the Applications shortcut, found in the left-hand side of a Finder window. Alternatively, from Finder, you can go to the “Go” menu and select “Applications”.
Google Docs, Microsoft Office or iWork?
There are 3 choices for productivity software. Apple iWork (Pages, Numbers and Keynote), Microsoft Office (Word, Excel and PowerPoint) are installed on your laptop or Google Docs online. Many staff and students are using Google Docs predominantly as they provide strong collaborative features and integration between the different Google products. The important point is to save your work in a format that can be read by others - e.g. PDF for viewing, or .docx or .xlsx for editing by people outside of the school.
Setting Up Contacts, Calendars and Email
There are two ways of using contacts, calendars and email - either by accessing directly using Google Workspace via a web browser such as Safari or Chrome, or by using applications that are installed on your laptop.
Using Google Workspace is probably the easiest way to access these services.
Google Workspace
Accessing your Google Workspace via a web browser is a matter of launching a web browser and going to www.google.com. The first time you do so, you will need to use “Sign In” at the top right hand corner of the browser window. Every time after, you can then access all Google Apps via
, also at the top right hand corner of the browser window.
The following Google Apps can be used for contacts, calendar and email:
Contacts. You can create and manage your own contacts and also access the School’s email contact list from the Directory tab. You can also import contacts if you have them saved as vCards or in a CSV file. You can access the Contacts app directly using contacts.google.com. | |
Calendar. You can keep track of your teaching times, put in meeting dates, and subscribe to school calendars. Calendar allows you to set up meetings with other Friends’ staff or students, create video meetings (via Google Meet) and book School facilities. These instructions for subscribing to school calendars guide you in setting this up and here's how to make bookings for school facilities. Here’s a video you can watch for a tutorial. You can access the Calendar app directly using calendar.google.com. | |
Gmail. Gmail is a great email app that provides features that aren’t available as easily on your laptop-installed applications. Aside from sending and receiving emails, you can use mail snoozing (make an email go away until later), mail scheduling (compose an email but have it deliver at a later time), labels to organise your emails, and plenty of other features. This video will take you through the basics. You can access Gmail directly using gmail.com. |
Storage & Backing up
About Backing Up
Backing up critical data relevant to your work and the School is your responsibility. Staff and students are encouraged to back up critical files often. Here are some guidelines to help conserve storage space:
Google Drive is installed for ensuring working files are backed up continuously. By default this is set to back up your Desktop, Documents and Pictures folders. With your school account you have unlimited space in Google Drive, so any files stored in the Google Drive and other folders selected to sync can be backed up / synchronised.
For personal files and a complete back-up of your laptop’s hard drive, an external hard-drive and using the ‘Time Machine’ back up application is a good option.
It is important that you are aware of the data retention and security requirements for your role and ensure your backups are consistent with this.
All email sent to or from school email accounts is retained in an email archive. We also recommend using the “Archive” feature in either Mail or at Gmail, rather than deleting emails.
External Hard Drive and Time Machine
Staff may be provided with an external hard drive upon request. Instructions for configuring your laptop to be backed up to a hard drive can be found on the Apple support web site. It is recommended that you leave your hard drive at school at all times and plug in to your laptop when at your desk. For staff with a computer other than a MacBook or iMac, please see Service Desk for assistance.
Wireless Network
Our wireless network covers all teaching and administration spaces throughout all campuses and is accessible for all WiFi-enabled devices. From your wireless settings, select FriendsSchool and, when prompted, type in your username and password.
Core Information Services Systems
ELMO - Staff Intranet
ELMO is planned to be available in 2025 as human resource information system that brings together key staff services. Additionally it serves as the launching point for other staff Information Services.
Payroll and Leave Applications - Definitiv
The online system for payroll and leave applications is Definitiv. Please contact the Financial Services team for any queries.
SEQTA
SEQTA Teach (teach.friends.tas.edu.au) is the School’s online information and communication centre for teachers and teaching assistants, accessible from the internet. A SEQTA Help site has guides for the various functions available.
SEQTA is used for attendance, pastoral care notes and bulletins. You will find the school and staff calendars, sectional sites, staff phone and email lists, and links to Google Workspace (Mail, Drive, Sites, Docs, Classroom), Information Services help documents and other resources. The home page provides access to all Human Resources, Work Health and Safety, and Risk Management documents and forms.
SEQTA is also the location of the School’s Learning Management System (LMS). Teachers can use the LMS to share resources with students, create lesson plans, set and mark assignments online and create relief cover lessons. SEQTA is used for curriculum planning, communications to students and guardians, co-curricular and academic reporting. Progressive feedback to students and parents is also managed In SEQTA, through the creation and publishing of pivot assessment tasks.
Attendance on Mobile
For completing attendance on a mobile device, you can access SEQTA at mobile.friends.tas.edu.au
Student access is available to SEQTA Learn at learn.friends.tas.edu.au Access will be provided for parents through SEQTA Engage: engage.friends.tas.edu.au.
Clipboard - Co-curricular system
Clipboard is used to manage co-curricular activity registration (student selections), attendance and communications.
Student selections are managed by Anthony Petty (Enrichment and Extension), Hilary Morgan (Music), Karina Churchill (Service), John White (Sport).
Co-curricular co-ordinators use Clipboard to schedule (rehearsals, practices, performances, games, meetings), take attendance and communicate with groups / teams.
The workflow and user guides for Clipboard are available here. 1:1 Support for the use of Clipboard for co-ordinators will be available as co-curricular activities get underway, contact the Service Desk if you have any queries.
Operoo
The school uses Operoo to collect and store student medical details and distribute and collect permission forms. Please contact the relevant school office (Morris, High School or Clemes) for assistance with this.
Synergetic - School Administration System
Synergetic is a Windows SQL based system for school administration data. There is only minimal use of Synergetic by teaching staff
Access to Synergetic web is available at http://synweb.friends.tas.edu.au with using tfs\username as your login and requires a connection to the school network (at school or via VPN).
Online Incident Reporting - ERM Online
Incident reporting uses our online Risk Management system. To report an incident go to this form.

ClickView
ClickView is a library of video resources, maintained by the Library Technicians and available over the network. Where copyright allows (particularly free-to-air and otherwise unavailable material) ClickView is the preferred delivery method of video to staff and students. Videos are available from any internet connected computer at online.clickview.com.au
Staff and students can contact the library staff for assistance with ClickView accounts.
Google Workspace for Education
All staff and students have been provided with a school-based Google Workspace for Education account. This enables the use of Google Docs, Calendar, Sites, Classroom and some additional services to make digital collaboration more effective. Information and Professional Learning on how to use the account will be provided during the year, but some useful links are below. Login with your school email address and password.
Google Shared Drives are used for planning and collaboration for groups such as Year Groups, Faculties, Committees and other functional areas of the school.

Other Information Services Resources
Staff Network Printers and Photocopiers
Network printers for staff use only are located in each staff room and other locations around the school.
Teaching staff network printers are usually available via Jamf Self-Service, but some need to be added at the Service Desk.
Staff can use their staff card to authenticate to photocopiers around the school, to save typing in a username and password. Full details can be found here.
Student Network Printers
Printing for High School and Clemes students are managed by the Papercut® service and are subject to a quota system that limits their monthly printing.
Teachers are not part of the quota system, but can still check their printing and environmental status using Papercut® as outlined below.
It is important to note that students are not actually charged money for printing; rather the quotas work on a currency-based system simply because it is easiest to manage.
Students in High School and Clemes (and teachers) can check their printing status through a web browser on the Friends’ Network. Go to print.t.f.s:9191 and log in with your normal username and password.
Digital Classrooms
As part of Friends’ Digital Classrooms initiative nearly all teaching spaces are outfitted with ceiling-mounted digital projectors and audio. Most classrooms make use of Vivi Wireless projection in addition to a wired connection. A guide for Vivi wireless projection is available.
Bookable AV Equipment - Still and Video Cameras, Scanners
Each campus library has access to Data Projectors in carry bags and digital video and still cameras for use by staff and students for use around the school. Some faculties (such as Arts and Technology) also have their own stores of equipment for use within the faculty. Scanners for general use are located in each campus library and many staff rooms.
Online Learning - a Guide
In 2020, due to the COVID19 pandemic, our school transitioned to distance learning for a period of time. To support teachers, this online learning guide was developed. Many of the tools explored in this document are relevant to teaching practice, whether distance learning or not. You are encouraged to explore this guide and perhaps try out a few of the tools in your own classes.

If you are experiencing any problems with the network, staff or student devices, printers, attached equipment or email, your first point of contact should always be the Service Desk portal, which includes help articles and a system to generate a service request. Learning Technologies Coaching (Teach\Tech Team)
If you would like ideas or coaching in using technologies for learning, the members of the Learning Technologies team are available.
The team, led by Richard Lawler - Learning Technologies Integrator, provides a range of expertise in learning technologies and related pedagogies to support the strategic direction of the School and assist in the successful delivery of relevant action plans (either school, sectional or learning area based).
The members of the team are enthusiastic advocates and users of learning technologies with the skills to coach teachers from a variety of sections and learning areas, contributing relevant professional learning, inspiration and ideas, and working alongside teachers and students
They:
are education-focussed and provide one-on-one coaching or group support to help teachers integrate technologies into their learning experiences and planning and, thus, improve student learning;
coach teachers to build independence in using learning technologies effectively;
share their teaching practice and experience of learning technologies;
help to develop and implement learning area based action plans and assist in identifying and facilitating relevant needs-based professional learning;
identify Information Services support issues and escalate these to the Service Desk through the ticketing system.

Acceptable use policies and guidelines for Staff and Students
The Friends' School has extensive Information Services resources and all users are asked to work with these in accordance with the School's ethos and Purpose and Concerns Statement. A policy has been developed to provide a framework and guidance for staff users. The Staff Policy can be located via the School Policies, Procedures and Forms link on ELMO as can the Student Computer Usage Agreement. For 2025, you can also access the Staff Policy here.
You should familiarise yourself with the terms of this Policy in order to minimise potential damage to you, your colleagues, students and the School, which may arise as a result of misuse of Information Services resources.
